I've created a TT management spreadsheet to reduce the time the managers have to spend on managing and to eliminate mistakes when creating differences and counting correct picks.

I have to admit that there are probably still some bugs that are not fixed. I started working on the Excel less than 2 weeks ago, and it's a very short time to get everything perfect as it should be :) My goal was to finish it before IW so I'm happy I achieved it :yeah:

Anyway, I've created version 0.8. Here's what's new:

- Fixed a bug that sometimes PTS scores weren't converted correctly to SR (thanks to ClaudiuS for discovering it)
- Added the correct picks counter to the Singles diffs
- Added separate columns for countries

Boarder35m was using my spreadsheet in his tournament this week and he discovered a couple of bugs in the doubles section - one was involving Byes and the other one was displaying SR diffs when there's no need for them (sometimes). I've fixed these bugs in the newest version 0.83:

Version 0.85

This version introduces two new features:

- Now you have the possibility to turn off showing SR differences. This feature comes in useful in big tournaments when there are 20 or more matches on a single day and there are too many SR diffs.

- The spreadsheet shows only the differences of matches that haven't finished yet. It means that you can post regular updates during the day with finished matches removed from the diffs.

I also fixed a bug in the doubles section, introduced in 0.83, that SR diffs weren't shown if there were no differences in picks. For this reason version 0.83 is not recommended for doubles management.

Just read the Guide, everything you need to know is there. Well, at least the important things. All the other things you can ask here :)

HOW TO WORK WITH THE SPREADSHEET

There are some important things you have to keep in mind when using this spreadsheet. If you don't pay attention to the format of the picks you put in you will get wrong differences. This is also mentioned in the Guide but people don't like to read guides :rolleyes: So here's what you need to know to avoid this situation.

Rule No.1 - The order of the picks must be the same as the order of the matches in the OOP. Normally this is not a problem since people usually send their picks in the order of the OOP. But if you have to change the OOP for some reason then you have to remember also to change all the picks accordingly.

Rule No.2 - No spelling mistakes. There's a red warning in the middle of the picks area (row 111) to help you spot them. If you see this warning appear then you have to fix the mistake before you go on. The last name in the pick must be exactly the same as the last name in the OOP (capital letters are not important). If the OOP says "Garcia-Lopez" and the pick says "Garcia Lopez" without the dash then it's a mistake and you have to fix it.

Rule No.3 - Picks can contain only the last name and score. Nothing else is allowed. No first names, no country names, no tiebreak scores, nothing else. Here are the accepted formats:

Nadal
Nadal 20
Nadal 2-0
Nadal 64 63
Nadal 64, 63
Nadal 6-4 6-3
Nadal 6:4,6:3
Nadal 6/0 6/1

(Note: Picks with both SR and PTS scores are also accepted but they are not encouraged. For example, Nadal 2-0 6:4 6:3 would give the correct result but people shouldn't send picks this way because there can be confusion if they send 2-1 64 64. My spreadsheet would give out 2-0 in this case, not 2-1.)

In conclusion, I want to remind you again - you have to look over the picks before you put them into the spreadsheet to make sure that they are in the correct format. The application won't give you an error message if the pick contains a country name or symbols like & or x or _ so you have to catch them with your eyes. The only thing that will give you the red warning is spelling mistakes.

Sure. You can use OpenOffice.org. It's freeware :) I used the Calc application to create this spreadsheet so it will definitely work on it.

I'm not sure about using it for WTA. I mean, you can use it at your own risk :lol: I don't know the tiebreak rules for WTA TT - if they are different then it might not work correctly.

Anyway, you'll need the big size version of this ss I suppose. The doubles part is ready and tested (thanks to Linda in IW) but the singles part is not ready yet :unsure: I'll PM it to you once it's done sometime this week. I don't want to post it here until it's ready :yeah:

I have to say that I've found the doubles version a great help this week. It is easy to make mistakes with doubles differences and, so long as the manager takes time to make sure picks are entered correctly, the spreadsheet is virtually fool-proof.

The biggest problem is players not sending picks in the requested format. :(

Hi Evita,

I must admit that this Excel spreadsheet was pretty useful during my DTT Management week.

It saved me a lot of time. :)

However, I have seen a few cosmetic bugs and potential enhancements. I will communicate them to you by PM but before, I need to check if they are still there in v. 0.86.

Anyway, thanks a lot. I was about to stop managing DTT Tournament because of lack of time but with you Excel spreadsheet, I am now fully able to manage DTT Tournaments.

Middle size - 32 players, 64 matches
Big size - 128 players, 64 matches

Singles and doubles have separate spreadsheets, the files would have been too big otherwise.

Barcelona is still a couple of weeks away so we'll see what's ready by then :)

It sometimes happens that a player sends an incomplete set of picks. The doubles sheet handled such empty spaces incorrectly up until now but now I've fixed it. You must remember to write No pick in the cell where the pick is missing.

I also added an option for Singles to show only the relevant SRs, not all of them. I'll probably add this later for doubles too.

Finally I have finished the big size version for singles - it has place for 128 players and 64 matches. You can use it anytime 32 players or 16 matches is not enough. It should also run on MS Excel without any problems :yeah: If you encounter any, please post here or send me a PM :wavey:

Yes, well, it is sort of ready already, Linda was using it when managing IW doubles. But it still has a lot of bugs, it's not as up-to-date as the small doubles, and it doesn't work with MS Excel, it works only with OpenOffice.

I'm working now on a spreadsheet that would be usable for best of five sets matches. The current versions are only for best-of-three matches. I would work on Doubles 128 but Tim hasn't given me any indication that he'd like to use my ss so... :shrug:

You can :) But you must be very careful with how you enter players' picks there. The ss determines which SR was picked by looking at the length of it. Obviously picks like "Nadal 64 64 46 64" are going to be shorter than "Nadal 6-4, 6-4, 4-6, 6-4" so in order to compare them, the ss first strips all the non-essential characters, and those are dashes(-), commas, ":" and "/". The result is visible in column O of the Diffs sheet if you want to check.

So the ss takes the stripped PTS version (which is 64 64 46 64) and looks at its length. If it's less than 4 symbols then it's a straight SR, not PTS. If it's less than 10 symbols, it must be 3-0. If it's less than 13 symbols, it must be 3-1. Otherwise 3-2.

So let's take one example of the following pick: "Nadal 6x4 6x4 4x6 6x4". In fact this pick is Nadal 3-1 but if you put it in like this, the ss will tell you it's Nadal 3-2. That's because "x" is not supposed to be part of the PTS and it's not removed, and the length of PTS in column O is 15.

This is just a reminder for everyone that it's essential to understand how this ss works and edit picks that are in the wrong format or contain wrong symbols before you put them in.

It's been more than two months and finally I have a new update - version 0.9 of the small spreadsheet. There are three new things:

- On the last update, I added the possibility to turn off displaying all SRs for Singles in Results. Now I added the same for Doubles.

- I have had a lot of difficulty explaining to managers why it's very important that there are no spelling mistakes in picks. They just ignore the red warning :rolleyes: So I implemented a new, more effective method to let them know some picks are incorrect - Differences aren't displayed anymore for the matches that contain mistakes.

- This is something Jess suggested, I think. When a round lasts two days, the correct SR count from the previous day is displayed in Differences.

I think I'm done with this now. I have updated Singles Big and Singles for GS to version 0.9 (they're in the first post) and finally I've also created the big version for Doubles. I've also got the Best of 5 for Doubles but I'm going to test it on USO before uploading it. So... I think I'm done, everything's done! :woohoo: :woohoo:

Please feel free to write how awesome my spreadsheet is, I can never get enough of that :lol: ;) Or also if you find any bugs or if you have suggestions for improvements.

Anyway, if any of you have trouble with the spreadsheet you should send it to me so I can see what's wrong and fix it if required. My goal is to have it working perfectly so I need you to tell me about all the mistakes you find :p

I assumed I had an isolated problem since I had to convert the file from excel to .ods format, as well as the fact I have office 2007 at home and an older office version at work. No one else brought the issue up and since to my understanding everyone uses the spreadsheet I thought it would have been raised already. Am glad to send the spreadsheet to you though.

The problem for me at least was just with diffs. Line 3 will record the correct winner, but it wont for some reason show up on the diffs. Trust me - I didnt touch a thing :)

Version 0.91 is relatively recent and it's always possible (though not likely) that there's a new bug in a new version. Your case sounds different though with all the conversions you did, I think I'll publish the spreadsheet in .ods format too to make it more convenient for people like you :) But I'm curious about the third row, it would be strange if it was just a coincidence that kai had a problem with it too.

Exactly. When I saw kai's post I instantly recognized the problem. It is pretty important too since if managers aren't double checking the spreadsheet they are copying diffs that are not correct.

Boarder35m just figured out the third row problem :yeah: There's nothing wrong with the spreadsheet, it's just that the third row has a sample winner (I put it there to show how the entering of winners should be done) and kai accidentally deleted the formula in J3 when deleting the sample data. You probably did something similar.

Delete the data but don't remove formulas. If you see the cell starts with "=" like J3 then don't touch it. In fact, you can see that column J is grey which means it should never be touched. You should only enter and delete stuff in the yellow and blue areas - yellow is what you fill in before matches start and blue is the results.

Just a couple of things.
In the doubles sheet there are some cells which have formulas in the results part:

Does it have some meaning?

And second, now it's a 2 day round, and in the same round there are matches which have the same protagonists (facing other doubles team) but in a different match.
When the stats are counted, it also counts the picks of the previous day.
Is there a solution to that? :scratch:

I'm just coming to the end of my first tournament as manager, and I have to say I can't imagine how anybody ever did the job before the spreadsheet was created. :worship: It must have taken hours, especially in the early rounds.

Why when I start entering matches in the picks columns, every time wrote that I have misspelled name, I check everything but I can't find my mistake, where I'm wrong?

I assume you entered the OOP in the correct places in the top right?

Evita,

I'm using the small v0.91. I noticed that when a doubles team has a bye, they are automatically depicted as a winner in the diffs (ie. coloured blue with no diffs). This doesn't happen in the singles diffs however:

ex.
00:00 | (1) Tytta! (BRA) vs. bye - Chardy, Phau, Roddick, Berdych vs. , , , SR Differences: Chardy 2-1 vs. 0-0, Phau 2-0 vs. 0-0, Roddick 2-0 vs. 0-0, Berdych 2-0 vs. 0-0


Is there any way to get the singles diffs to display like the doubles diffs?

today when mananging the mixed doubles I got an error called: error 502 in a certain match
and it was counting the diffs wrong for this match
I'll upload this ss for you. Maybe you could tell me what I did wrong.

I just checked your file, abollo. I opened it with OO Calc and I don't see any errors there. I noticed that F216 contains the "(" symbol which is not allowed in picks. But other than that I don't see a problem :scratch:

There were also some other cases like that, although they didn't affect the results...

But still, can you tell me what was wrong there?

That has happened to me before and I think that it often happened with picks from players from Asia. Probably because they use keyboards with different characters they sometimes also use different dashes "-".
They are a bit longer than the dashes from a keyboard using latin characters.
So if you change the dash the problem should be solved. :wavey:

Actually there is no difference, I don't know why I put those options :o Just go with SR always.

No, it's not normal. Maybe you are entering the winners in the wrong column? :scratch: It needs to be in the blue one, not the grey one, and just the number (1 or 2), not the name. If you can't figure it out you can send the spreadsheet to me, I'll take a look at it.

because there is formula which searches for that doubles player in singles and if finds him/her then uses the same picks. But this feature works only in open office, so I just delete all those formulas.

Yes, I did do that, but it doesn't show diffs as No Pick vs Nadal, it says: Incorrect pick, probably a spelling mistake

Actually I noticed this a few weeks ago.

In the singles section it would not accept 'No Pick'

whereas in the double section it has 'Note: if a player sent picks but forgot one pick, write in the empty cell: No pick' and it will accept 'No pick' there.

Actually the rules were changed recently and the correct winner in a retirement match should count for shootout. If you remove the "sr" tag and don't enter a set score then everything should be fine I think :scratch:

I had a very strange problem: specifically one pick from one player in doubles is not accepted. Nothing I write in the cell is seen as correct by the spreadsheet. I've tried even copying a valid pick from another player, but the only thing I could do to prevent the spreadsheet from saying "incorrect pick" was to put a no pick there. (if it's any help, it's exactly cell F73 from the doubles sheet). Any ideas?

Never had a problem like that - only thing I can think of - have you possibly done something to corrupt the cell?
Does the same thing happen if you download a new sheet and re:input the same picks?

Yes, I've tried starting from a clean, downloaded sheet - same thing. Well, it didn't cause me any trouble in the end, I just wanted to see if it has happened to anyone else. I'm using LibreOffice, that might explain something.

So, I had to cancel SR3. I changed the day of that match to '0', then I changed 'The number of matches in this round' to '3'.

The result was:
02:02 | Don Corleone (BRA) vs. (Q) catgamer (GER) #SRs: 2-2, Shootout: SR3

So, in spite of the fact I cancelled that match, the Spreadsheet used it for TB.

Hey Evita, I just have a quick little change that I've found useful after downloading the spreadsheet. I'm not sure if this is only possible on Macs but I've removed the gridlines from the instructions page of the workbook, and it makes the instructions much easier to read. Obviously not a reason to update every spreadsheet, but upon the next version being released (whenever that is), it might be worth considering. This spreadsheet though truly is a work of art (especially to aspiring computer science majors such as myself).
